Revenue Cycle / Operations Improvement

Post-Live Assessment
This service focuses on post-live customers and provides an in-depth analysis around how to maximize claim-2-cash by uncovering data issues that might be preventing claims from being processed timely, accurately or at all. In addition, it will include recommendations for a go-forward strategy.

The post-live assessment will be performed through a remote connection to the database. It will include a review of core functional components such as Administration, Billing, Patient Information, Payment Entry and Reports. Examples of the types of information include patients with missing insured identification numbers, summary of various rejections, allocation sets usage, visits by status, fee schedule review, statement cycle review and much more.

Workflow Assessment
During a Workflow Assessment a consultant will review the physical workflows of how the office staff manages a patient through the system from appointment to payment entry. The goal will be to help the practice gain efficiencies in their workflows to maximize the claim-2-cash process. For example, how the patient is checked in and the information obtained is essential to ensuring claims are sent clean the first time.

This consultation & assessment, which is performed remotely, will also include such items as best practice sharing, tips and techniques for daily use and helping the practice to establish good procedures to monitor their success. A detailed report will be provided to the practice which will contain any issues noted, warning signs detected or opportunities for improvement. 8 hours of remote consulting will be included with this assessment, 2 of which will be designated to learn the goals of the practice and the remaining 6 will be to assist the practice with implementing change procedures. This process assures the Practice Management software work-flows are aligned with the practice goals.

Financial Analysis
Standard system reports are used to identify payer mixes, providing the practice with a mechanism to evaluate fee schedules against managed care contracts and helping the practice establish good procedures to monitor their success. This analysis is performed via remote connection to the database and includes Accounts Receivables, Production vs. Reimbursement as well as Procedure Code & Payer Analysis.

Outcomes and recommendations accompany the analysis. This analysis also includes 4 hours of remote consulting that will be used to discuss the recommendations and any go-forward strategies or answer any questions the practice might have.

Implementation Consulting
Working collaboratively with the Project Manager, EDI Representatives and Trainers enables the Consultant to provide a new customer with knowledge and guidance in support of their business model to minimize impact to cash flow when transitioning to Centricity Practice Management.

The scope of this offering will include examination of system tables prior to go-live to ensure data is structured in a way that will minimize claim denials. Additionally, a consultant will work with the Implementation Team to ensure project plans are aligned with the business model of the practice and unique needs are met. A consultant will also ensure the Practice Team is equipped with the information needed to make appropriate system decisions affecting the long-term ability of the workflows to meet the business objectives.

Remote Consulting
Remote consulting will be provided to practices that require assistance implementing the recommendations in either the Post-Live Assessment or Workflow Analysis. Remote consulting can also be provided in lieu of a Post-live Assessment or Workflow Assessment in the cases where a practice needs advanced system understanding, workflow modifications, Pre-Go-Live Planning, or recommendations for isolated issues.

Pre-EMR Adoption Assessment

While in the final stages of deciding to adopt an EMR, customers begin the planning process for the implementation.

The Centricity Service consulting staff will analyze an ambulatory practice's EMR implementation readiness. Based upon this analysis the ambulatory practice will receive detailed recommendations for successful deployment strategies that meet the practice's identified goals.

Results

High-level EMR Readiness Assessment, which includes:

  • A synthesis of stakeholder interviews.
  • An assessment of the practice's goals for EMR use and deployment across the ambulatory practice.
  • A high-level assessment of the practice's change readiness.
  • Recommended client preparation prior to EMR purchase and initiation of formal implementation process.
  • Recommended EMR rollout plan, including phases of implementation and high-level training plan.
  • Recommended project team organization and composition.

EMR Optimization Analysis

Several months or years after implementing Centricity EMR, an ambulatory practice may stall in their continuous improvement efforts to optimize both clinical and operational efficiencies. Therefore, it is beneficial to engage an expert from Centricity Service consultants to independently analyze the ambulatory practice's use of Centricity EMR and make recommendations for clinical workflow and process improvements to optimize the power of the EMR.

Results

A written High-level Post-Live Assessment, which includes:

  • Confirmation of the original EMR implementation goals, updated with new or refined goals as needed.
  • EMR current state review, assessment and recommendations to optimize the use of the Centricity EMR software and achieve clinical and operational efficiencies.
  • Workflow process improvement recommendations.
  • Development of training plan for additional Centricity EMR administrative, Super-User or End-User training.
  • Provide recommendations on the use of new software features and functions, where appropriate, that may have been updated or enabled since the original EMR implementation. This may include new interfaces with other GE products or third-party vendors.

Custom Consulting

An existing EMR client does not always have the in-house expertise or availability to create custom forms or reports using Encounter Form Editor or Crystal Reports software.

The Centricity Service consulting staff will develop a custom scope of work for each project, which includes deliverables, schedule, pricing, roles and responsibilities of the GE and client teams. Examples of custom consulting services include the design and creation of custom clinical encounter form components and/or building custom Crystal Reports, based on the client's specifications.

Results will be incorporated into the custom scope of work for each custom consulting engagement.

EMR Upgrade Planning, Rollout and Training

When a practice doesn't have their own staff expertise in EMR, Centricity Service consulting staff will work with the client's project team to plan and prepare for the EMR software upgrade.

Results include training the client's project team on the new features and functionality of Centricity EMR, conducting upgrade planning sessions with the client's project team and development of a customized upgrade project plan - which includes a training plan and materials.
